We are delighted to be working with a new client that operates across the world, within the pharmaceutical sector. They are currently recruiting for an Executive Secretary to be based at their site in Chelmsford, Essex.
•Prepare correspondence, reports, and materials for publications and presentations.
•Setup Director travel arrangements.
•Setup accommodation and entertainment arrangements for company visitors.
•Maintain the Directors calendar & Schedule.
•Prepare and maintain Director's expense report.
•Setup and coordinate meetings and conferences.
•Create, transcribe, and distribute meeting agendas and minutes.
•Answer telephones and handle in appropriatemanner.
•Meet and greet clients and visitors.
•Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
•Maintain hard copy and electronic filing system.
•Sign for UPS/Fed Ex/DHL packages.
•Research, price, and purchase office furniture and supplies for Department needs.
•Coordinate project-based work.
•Supervise support staff.
This is a permanent position with the salary on offer in the region of £28,000 per annum.
To be considered for this role, you must be able to demonstrate the following:
•Basic reading, writing, and arithmetic skills required.
•At least 5 years’ experience at Executive secretarial level and /or within a Finance Directorate or similar.
•Knowledge of Microsoft Office and telephone protocol. Computer literate with the ability to
learn new software applications.
•Duties require professional verbal and written communication skills and the ability to type 60 wpm.
•Visibility of work requires attention to detail, excellent organizational skills, and
discretion with confidential information.
